What Is an ITIN and Do You Need One as a US Company Owner?

If you own a US company from abroad, sooner or later someone will ask whether you have an ITIN. A bank form, a payment platform, a tax preparer or a forum post. The ITIN is often misunderstood, so this guide explains what it is, who needs one, and when it is worth getting even if it is not strictly required.
What is an ITIN?
An Individual Taxpayer Identification Number (ITIN) is a nine-digit tax ID issued by the IRS to people who need a US taxpayer number but are not eligible for a Social Security Number. It always starts with the digit 9 and looks like this: 9XX-XX-XXXX.
Important points:
- It identifies you as an individual, not your company. Your company uses its EIN.
- It is for tax purposes only. It does not give you the right to work in the USA, does not change your immigration status, and is not a form of US identification.
- It is issued by the IRS, the same agency that issues EINs.
ITIN vs EIN in one minute
Your US company needs an EIN to open a bank account, use payment platforms and file its returns. You, personally, might need an ITIN if you have your own US tax filing obligations or if a financial institution asks for a personal US tax number.

Who needs an ITIN?
You generally need an ITIN if you are not eligible for an SSN and you:
- have to file a personal US tax return, for example because your share of a US partnership's income is effectively connected with a US business, or because you have other US-source income that requires a return,
- want to claim a tax treaty benefit that requires a US taxpayer number,
- are a partner in a multi-member LLC that has effectively connected income and must report and withhold tax for you, or
- are the spouse or dependant of someone who files a US return.

Why owners get an ITIN even when it is optional
In practice, an ITIN is useful for non-resident business owners in several ways:
- Banking and fintech. Some banks and financial platforms ask the owner for a personal US tax number. Having an ITIN can widen your options and reduce back-and-forth during verification.
- Payment processors. Certain platforms ask for an SSN or ITIN for the individual who controls the account. See do I need an ITIN for Stripe or PayPal?
- Building a US credit profile. Some lenders and card issuers accept an ITIN, which can help you build a personal US credit history over time.
- Future flexibility. If your business grows into effectively connected income, you will need a personal tax number to file, and having it ready avoids delays.

How the ITIN application works
You do not need to visit the USA. In outline:
- A reason to apply. The IRS issues ITINs for a specific tax purpose, so the application is normally attached to a federal tax return, or made under one of the IRS's documented exceptions.
- Identity documents. Your passport is the standard document because it proves both identity and foreign status. Original documents or certified copies are required.
- Verification. A Certifying Acceptance Agent (CAA) can verify your passport so you do not have to send the original to the IRS. This is the route most non-residents prefer. Read what a Certifying Acceptance Agent does.
- Processing. The IRS reviews the application and mails the ITIN letter.

How long does it take?

Does an ITIN expire?
Yes. An ITIN that is not used on a US federal tax return for three consecutive years expires and has to be renewed before it can be used again. Some older ITINs also expired under earlier IRS schedules. If your ITIN has expired, renewal follows a similar process; see ITIN renewal.
Four real situations
A two-founder LLC. Two partners in India own a Wyoming LLC that has a US warehouse and US staff. Because the LLC is a partnership with effectively connected income, each partner usually has to file a personal US return and the LLC must withhold tax on their share. Both partners need an ITIN. A solo agency owner selling services from abroad. One owner, a single-member LLC, clients in the USA but all work done from Dubai. There is often no personal US filing requirement, so the ITIN is optional. The owner gets one anyway because a payment platform asked for a personal tax number during verification.
A founder renting out US property. Rental income from US real estate is US-source income and usually requires a personal or entity US tax return. The owner needs an ITIN to file and to claim deductions properly.
A seller who wants a US credit card. An Amazon seller with growing US revenue wants to build personal US credit for future financing. An ITIN is one of the requirements some card issuers use, so it becomes a long-term business tool rather than a tax formality.

What we need from you
For a standard ITIN application for a company owner, we typically ask for:
- a clear scan of your valid passport (the main page and any page with your US visa, if you have one),
- your US company details, such as the LLC name, EIN and formation documents,
- your foreign address and contact details, and
- information about the reason you need the ITIN, so we can choose the correct basis for the application.
We review everything before it goes anywhere. Most rejections come from an unclear reason for applying, a mismatch between documents, or a passport that expires during processing, and those are easy to prevent at the start.
Keeping your ITIN active
Once issued, an ITIN stays active as long as it appears on a US federal tax return at least once every three years. If you file a personal return each year, nothing else is needed. If you got the ITIN mainly for banking or payments and never file a personal return, it can expire, and you may have to renew it before your next filing. Keep the IRS letter with your company records and tell us if your passport or address changes.
Common misconceptions
- "An ITIN lets me work in the USA." It does not. Work authorisation comes from immigration law, not the IRS.
- "I need an ITIN to form an LLC." You do not. Company formation and the company's EIN do not require an ITIN.
- "An ITIN means I pay US tax." Not by itself. Whether you owe US tax depends on your income and its connection to the USA, not on having the number.
- "Any US bank will accept me if I have an ITIN." It helps with some, but banks still review the business, the owner and the source of funds.
Should you get one?
Get an ITIN if you have a personal US filing requirement, are a partner in a US multi-member LLC, want treaty benefits, or want more banking, payments and credit options. If your single-member LLC operates fully outside the USA and you have no personal filing obligation, it is optional. Can I apply for an ITIN without visiting the USA?
Yes. The application is handled remotely. Using a Certifying Acceptance Agent means your original passport stays with you.
Is my ITIN linked to my company?
No. The ITIN belongs to you personally. If you close one company and open another, you keep the same ITIN.
Can my spouse get an ITIN?
Possibly, but only if they have a US tax reason of their own, for example being listed on a US return. A spouse does not qualify just because you own a US company.
Will an ITIN let me open any US bank account?
It can widen your options, especially with some banks and fintech providers that ask for a personal US tax number. Approval still depends on the bank's review of you and your business.
